Terms and Conditions for Pink Elephants World Rugby Festival 2025

Welcome to the Pink Elephants World Rugby Festival 2025, held in Sri Lanka from 1st June to 7th April 2025. Prior to purchasing any package offered by Rugby Legends Limited (RUGBY LEGENDS LIMITED) trading as the Pink Elephants, please review the following terms and conditions. Your purchase and booking with us imply your acceptance and adherence to these terms.

Definitions:

  • Pink Elephants: Refers to Rugby Legends Limited trading as the Pink Elephants.
  • You/Participant: Denotes the customer purchasing a package from RUGBY LEGENDS LIMITED.
  • Festival: Encompasses the Pink Elephants Rugby Festival organized by RUGBY LEGENDS LIMITED, inclusive of event suppliers and all related components.

Key Entry and Booking Terms:

  1. Teams Registration: Teams are required to pay a non-refundable registration/entry fee of NZD$305 upon submitting a completed registration form. Acknowledgment of receipt confirms participation in the Festival.
  2. Individual Registration: Individuals must pay a non-refundable registration/entry fee of NZD$70 to participate.
  3. Financial Statements: Teams and individuals consent to RUGBY LEGENDS LIMITED providing financial summaries to the designated Team Manager.
  4. Invitation Only: Entry to the Festival is by invitation only, with RUGBY LEGENDS LIMITED reserving the right to decline entries.

Responsibilities of Participants:

  • Payment: Participants are responsible for full payment of their chosen package, inclusive of any cancellation or amendment charges.
  • Agreement: All participants must agree to the Terms and Conditions, including Waiver, and adhere to the policies of RUGBY LEGENDS LIMITED.
  • Entry: Submission of entries, whether as a team or individual, is mandatory.
  • Package Purchase: Participants must select and purchase one of the packages provided by the organizers.
  • Personal Information: Each person must provide a unique mobile number and email address during booking.

Payment Terms:

  • Deposits: Teams and individuals are required to pay a non-refundable registration/entry fee upon registration. Additionally, a deposit is necessary to confirm chosen accommodations.
  • Payment Options: Various payment options are available, with full payment required by January 1, 2025.
  • Late Payments: Late payments may incur a 5% late fee, and failure to pay within specified timeframes may result in cancellation.

Insurance:

  • Teams and individuals must secure adequate insurance covering travel, sports injuries, and cancellations, with proof required prior to the Festival.

Prices:

  • Package prices are in New Zealand Dollars (NZD) and are per person.
  • Prices are subject to change due to factors like currency fluctuations and supplier costs until full payment is received.

Cancellation & Refunds:

  • Cancellations must be made in writing and are subject to terms outlined by RUGBY LEGENDS LIMITED.
  • Refunds are contingent on supplier policies and may be subject to fees.
  • RUGBY LEGENDS LIMITED is not liable for bank fees associated with refunds.

Medical Conditions:

  • Participants are responsible for their fitness and medical expenses incurred during the Festival.

Unused Services:

  • Refunds will not be provided for unused portions of package services.

Changes by Us:

  • We reserve the right to make changes to the itinerary, with notice provided.

Our Responsibilities:

  • Our services consist of arranging travel, accommodation, and event bookings, performed with reasonable care and skill.

Consent to Photos:

  • Participants consent to the use of their image by RUGBY LEGENDS LIMITED for promotional purposes.

Legal Contract:

  • By booking with RUGBY LEGENDS LIMITED, you agree to our terms and policies.

Festival Rules:

  • Participants agree to abide by Festival rules, including age restrictions and accreditation requirements.

Minors:

  • Minors under 18 are prohibited from certain Festival functions due to alcohol licensing laws.

Passport and Visa Requirements:

  • Participants are responsible for ensuring they possess valid travel documentation.

Force Majeure:

  • Events beyond our control may suspend our obligations, with no liability on our part.

Waiver, Release & Indemnification:

  • Participants waive claims against RUGBY LEGENDS LIMITED and indemnify us from liabilities arising from participation.

Limitation of Liability:

  • Our liability is limited to the total cost of the package.

Governing Law:

  • These terms are governed by New Zealand law.
